1. Cancellation by the Customer
- More than 30 Days Before Departure
If you cancel your tour more than 30 days before the scheduled departure, you will receive a full refund, minus a non-refundable administrative fee of 10% of the total booking amount. - Between 15 to 30 Days Before Departure
Cancellations made between 15 to 30 days prior to the scheduled departure will incur a 50% cancellation fee of the total booking cost. The remaining balance will be refunded. - Less Than 15 Days Before Departure
If you cancel your tour less than 15 days before the scheduled departure, no refund will be provided, as most services are pre-paid and confirmed. - No Show
In the event that you do not show up for your tour, no refund will be issued.
2. Cancellation by Kibali Africa Tours and Events
Kibali Africa Tours and Events reserves the right to cancel any tour for reasons beyond our control, including but not limited to natural disasters, government restrictions, or other unforeseen circumstances. In such cases, we will offer you the following options:
- Full Refund: If the tour is cancelled by us, you will receive a full refund of all payments made.
- Alternative Tour: We may offer you an alternative tour or reschedule your booking. If you choose this option, no additional charges will apply, or we may offer a partial refund if the new tour is less expensive.
3. Changes to Your Booking
If you wish to modify or change your booking, such as changing the tour date or destination, please contact us at least 15 days before your scheduled departure. Any changes are subject to availability and may incur additional charges. Changes requested within 15 days of departure will be considered on a case-by-case basis, and additional fees may apply.
4. Refund Process
All refunds will be processed through the same payment method used during the booking. Refunds can take up to 14 business days to be credited to your account, depending on the processing times of the payment provider.
5. Special Circumstances
- Medical or Emergency Situations
In case of medical emergencies or unforeseen circumstances, we encourage you to inform us as early as possible. While we cannot guarantee a refund in such cases, we will work with you to accommodate your situation to the best of our ability. - Flight Delays or Cancellations
If your flight is delayed or cancelled, Kibali Africa Tours and Events is not responsible for any associated costs. Please ensure you have appropriate travel insurance to cover any unexpected travel disruptions.
6. Force Majeure
Kibali Africa Tours and Events is not liable for any cancellations or changes to services due to reasons beyond our control, including but not limited to natural disasters, strikes, political unrest, pandemics, or government regulations. In such cases, we will do our best to offer alternatives or refunds where possible, but we are not responsible for any costs incurred due to these circumstances.
7. Tour Modifications and Delays
While every effort is made to adhere to the scheduled itinerary, Kibali Africa Tours and Events reserves the right to make changes to the itinerary, accommodations, or services due to unforeseen circumstances, weather conditions, or other factors. No refund will be given for minor changes or delays, but we will always do our best to minimize any inconvenience.
